Simple setup, powerful tracking

Manage your entire wedding guest list in five steps

From creating your first function to sending post-RSVP WhatsApp confirmations — everything is set up in an afternoon. Most hosts send their first invite link within 15 minutes of signing up.

01

Create your event

Sign in and create your wedding event in seconds — just add the couple's names and you're off. Then build out your full function schedule: Mehendi, Haldi, Sangeet, Wedding Reception, and any custom ceremonies you have planned.

For each function you can set the date, time, venue, food service type (veg-only, non-veg, or both), and an RSVP deadline. Flip the hard-close toggle to instantly stop accepting new responses for any function once you're happy with the numbers.

Everything is editable at any time — add a function you forgot, change a venue, or push a deadline — with changes reflecting immediately for guests who open their link.

Create personalised invite links

Create separate invite groups for the bride's family, groom's family, mutual friends, or any other segment you need. Each group gets its own unique link that opens a personalised RSVP page.

The page heading automatically adapts to the guest's side: bride's side guests see "Ananya & Rahul's Wedding", while groom's side guests see "Rahul & Ananya's Wedding". This small detail means a lot to families.

You can also set a default country code per group — so guests dialling in from the UAE, UK, or USA see the correct phone prefix pre-selected without any confusion. Download a QR code for each link to print on physical invitations.

Tap the WhatsApp share button on any invite group to copy the link with a pre-written message straight to your clipboard, ready to paste into a family group chat or send individually.

Guests don't need to create an account or install anything. They just tap the link, enter their phone number (their unique identifier), and select their attendance for each function — all in one page.

Returning guests are recognised by their phone number and see their existing response pre-filled. They can update it at any time up to the deadline, so there's no friction around changing plans.

Track responses in real time

Watch RSVPs arrive on the live dashboard the moment a guest submits. The overview shows total responses, attendance rate, vegetarian and non-vegetarian counts, and a daily response chart so you can see when your reminder messages worked.

The guest list breaks down per-function attendance and food preference for every RSVP. Filter by invite group to see bride's side and groom's side figures separately — useful when each family has its own catering budget.

Duplicate detection runs automatically and flags guests with the same phone number or very similar names, so you can resolve conflicts before they cause confusion on the day. Add a private host note to any guest record for reminders only you can see.

Coordinate logistics

Use the accommodation module to set up hotel blocks, define room types and total availability, and assign guests to specific rooms. Track adults and children separately per assignment, and mark guests as checked in on arrival day.

Send personalised WhatsApp confirmation messages to all RSVPd guests directly from the dashboard — confirmation nudges for those who have responded, reminder nudges for those who haven't. Each message is personalised with the guest's name and their attendance summary.

Export a food sheet for your caterer (per-function veg and non-veg counts), a rooming list for the hotel, or a full guest CSV for your wedding coordinator. Generate a shareable summary link that gives your coordinator a live read-only view.

Common questions

Everything you need to know

Do guests need to create an account?

No. Guests never need to sign up or install anything. They open the link in their browser, enter their phone number, and RSVP. The phone number acts as their unique identifier — returning guests are recognised automatically and can update their response at any time.

Can I have different RSVPs for different functions?

Yes — that's the core of how Invite Circle works. Each function (Mehendi, Haldi, Sangeet, Wedding Reception, and so on) is tracked independently. A guest can attend the Sangeet and decline the Haldi. Food preferences are collected per function, not as a single total, so your caterer gets accurate numbers for each event.

What happens if a guest submits twice?

Invite Circle detects duplicates automatically. Phone-number duplicates (same number from different submissions) are flagged with a red "Same phone" badge. Similar names are caught by a fuzzy-match algorithm and shown with an amber "Similar name" badge. You can review and merge or delete records from the dashboard — nothing is removed automatically.

Can I add a co-host or wedding coordinator?

Yes. You can invite co-hosts by email from the dashboard. Co-hosts get full access to your event — they can view responses, manage the guest list, update RSVP details, and send WhatsApp messages — without sharing your login credentials. Ideal for a family member helping manage the list or a professional wedding planner.

What WhatsApp features are included?

Invite Circle uses the Meta WhatsApp Cloud API to send personalised messages at scale. You can send RSVP confirmation messages to all guests who have responded, reminder nudges to those who have not, a one-week countdown message to confirmed guests, function schedule details, and hotel accommodation info. All messages are personalised with the guest's name and relevant details, and every send attempt is logged with its delivery status.

Is the service available outside India?

Yes. The RSVP form supports phone numbers from 39 countries, with a particular focus on the Indian diaspora — UAE, UK, USA, Canada, Australia, Singapore, and more. Each invite group can have a default country code pre-set, so guests in a particular region don't need to scroll to find their code. The dashboard and all communications are in English.
